  • Mission                                                               

    The Executive Assistant will be responsible for various administrative aspects and will be responsible for assisting the vice-presidency for the Transportation sector. The Executive Assistant will also be responsible for document management, quality control and administrative correspondence.

    We offer a flexible hybrid working arrangement, allowing you to work from home and from our offices in the Metropolitan area.

    Main responsibilities

    • Manage the diary and expense accounts of the Transport Vice-Presidents
    • Assist in business development and support colleagues in the department by planning, organising meetings, travel and making reservations when necessary.
    • Prepare and revise correspondence and all other types of documents using the appropriate format.
    • Provide support for the production, revision and layout of presentations, spreadsheets, reports, service offers, contracts and other texts in French and English, as required
    • Look after the Transport Centre of Excellence 
    • Manage and monitor events and association subscriptions (registrations, coordination of conference attendance, etc.)

     

  • Profile
    • -College or vocational diploma (DEC, AEC or DEP) in administration, communications, office automation or another relevant field
    •  5 years' experience in administration or a related field, or relevant experience as an administrative assistant, executive secretary and/or administrative coordinator
    •  Fluency in written and spoken French and English. Bilingualism is an essential requirement for this position in order to communicate effectively with a wide range of stakeholders, including our customers, partners and cross-sectoral teams at national level.
    •  Initiative, team spirit, good judgement, strong sense of aesthetics in communications, high concern for quality of work and attention to detail, ability to manage priorities and pressure 
    •  Proficiency in MS Office suite (Word, Excel, Outlook, PowerPoint and Visio) and Adobe Pro
